The Ultimate 12-Month Wedding Planning Timeline

So you're engaged!!! Congratulations! After the happy tears and the flood of "let me see the ring!" texts, there's usually one big question hovering in the background: where on earth do we even start?

Take a deep breath. Planning a wedding is a big project, but it's a completely doable one when you break it into smaller pieces. Think of this timeline as your gentle roadmap, a friend walking beside you, pointing out what to tackle and when, so nothing important sneaks up on you.

Here's everything, month by month. Got one month done, move to the next. There are no rules here. It’s YOUR day!

12 Months Out: Dream and Decide

This is the fun, big-picture stage. Before you book a single thing, sit down together and talk about the feeling you want your day to have. Intimate and cozy? Big and joyful? Black-tie elegant or barefoot-on-the-beach relaxed?

A few things to nail down now:

  • Your rough budget. This shapes every decision that follows, so it's worth having an honest conversation early, including who, if anyone, is contributing.

  • A guest-count ballpark. You don't need a final list yet, just a range. "Around 100" is enough to start venue hunting. Sit down and make a preliminary list.

  • A season or general date. Flexibility here gives you far more venue options (and sometimes better pricing).

  • Start your Pinterst board, this will help your vendors more than you know.

10–11 Months Out: Lock the Big Three

Now you book the things that get snapped up first: your venue, your photographer, and, if you want one, your videographer or content creator. Popular venues and photographers can book out 12 to 18 months ahead, especially for peak summer and fall dates, so securing these early takes a huge weight off your shoulders.

Once your venue and date are confirmed, you can officially send save-the-dates. Aim to get these out around 8 months ahead (or earlier for a destination wedding).

8–9 Months Out: Build Your Vendor Team

With the foundation set, start filling in your dream team:

  • Caterer (if not included with your venue)

  • Florist

  • DJ or band

  • Officiant

  • Hair and makeup artist -and ALWAYS do a trial run. ALWAYS ALWAYS ALWAYS.

This is also a lovely time to start shopping for your wedding outfit. Gowns in particular can take several months to order and alter, so giving yourself runway here means zero last-minute panic.

6–7 Months Out: The Fun Details

Now the personality of your day starts to shine through. Choose your color palette, order invitations, plan your menu, and think about the little touches, signage, favors, a signature cocktail. If you're having a wedding party, get them their attire details now.

Don't forget the practical stuff either: book your honeymoon and check whether you'll need updated passports.

4–5 Months Out: Refine and Reserve

Tie up the remaining loose ends. Reserve rentals (chairs, linens, a dance floor), finalize transportation, and book a block of hotel rooms for out-of-town guests. If you're writing your own vows, start jotting down ideas, you'll thank yourself later.

This is also the time to schedule your hair and makeup trial and your cake tasting (arguably the best appointment in the entire process).

2–3 Months Out: Send and Confirm

Mail your invitations about 8 weeks before the big day, with an RSVP deadline around 3 to 4 weeks out. Apply for your marriage license, rules vary by location, so check the requirements where you're getting married.

1 Month Out: The Home Stretch

Follow up with anyone who hasn't RSVP'd (there are always a few!), then give your caterer the final headcount. Create your seating chart, do your final dress fitting, and pick up your outfit. Break in your shoes around the house so they're comfy by the big day.

Put together a small wedding day emergency kit, safety pins, stain remover, blister plasters, tissues, a phone charger. Future you will be grateful.

The Final Week: Breathe

Pack for your honeymoon, delegate day-of tasks to trusted people (or your coordinator), and assemble final payments and tips in labeled envelopes. Then, as much as you can, step back. Get a good night's sleep, drink your water, and let yourself be excited.

You've done the work. Now it's time to enjoy it.
